PURPOSE

ERSI Group has implemented an Integrated Management System, which provides that relevant suppliers and subcontractors must fulfil the commitments acquired in the Quality, Environmental and Social Policy, available on the website and the requirements defined herein for each type of supplier.

Therefore, we want to convey to our suppliers and subcontractors the need for their behaviour to be consistent and in the same course of action as ERSI Group.

(GRUPO ERSI) informing them of the importance of complying both with the principles described in our Policy and with the requirements established herein, for ensuring that their behaviour ensures the quality of the product or service provided, the greatest respect for the environment and safeguarding the safety and health of employees at all times, guiding their processes towards continuous improvement and sustainable development, keeping ERSI GROUP informed accordingly.

REQUIREMENTS

Quality requirements

Suppliers, in addition to having the duty to comply with all applicable legal requirements, shall meet all the quality requirements that are implicit for the requested service or product established in a contractual manner in order to provide goods and services that systematically adjust to the needs and expectations of GRUPO ERSI, which work, are effective, and safe from all points of view for their intended use.

The oversight and quality control methods for products and services supplied to GRUPO ERSI, as well as the employees for the selection, assessment and reassessment of our suppliers, shall be based on logical criteria, depending on the degree of influence or relevance that said products or services may have on the provision of our services to the customer.

 

Purchase / suppliers general requirements

Delivery of orders must be made within the established deadlines.

The delivery note and the required documents must be delivered together with the order.

The products must be those requested both in quality and quantity.

The INVOICES must contain at least the following information:

Purchase Order Number (Order) of GRUPO ERSI

Quantity, units and amount according to order

 

Only one purchase order can be referenced in each invoice.

General

To know and comply with current national, regional and local legislation applicable to their activities, products and services in environmental, and occupational health and safety matters.

To communicate to ERSI GROUP any information and / or documentation that may be requested about the environmental and occupational health and safety performance of their products and / or services.

 

Raw material suppliers

To promote safe and environmentally-friendly production processes and the implementation of environmental management systems.

 

Suppliers of dangerous substances, except combustibles

To send the Safety Data Sheets for hazardous substances.

To inform ERSI Group about alternative substances which are more respectful of environmentally friendly and safe procedures.

 

Equipment design / manufacture / installation

 

To inform ERSI GROUP about the safety and health and environmental aspects associated with the equipment / installation.

To inform ERSI GROUP about the corrective measured applied to reduce the occupational risk and the environmental impact of the equipment / installation.

To inform ERSI GROUP about potential accidents, breakdowns, operation in abnormal conditions (Start-Stop) and their effects on the environment and occupational health and safety.

To inform ERSI GROUP about the waste generated by the installation / equipment and their specifications.

To inform ERSI GROUP about the consumption of natural resources (energy, raw materials, fuel) of the equipment / installation under normal conditions.

To inform ERSI GROUP about the maintenance to be carried out on the installation.

 

Maintenance of machinery, installations and vehicles

To send ERSI GROUP a copy of the registration that certifies the authorisation of ERSI GROUP to carry out the installation and / or maintenance work.

To inform ERSI GROUP of the potential effects and risks in terms of occupational health and safety of energy consumption and operations carried out in our facilities and, where appropriate, of the preventive and corrective measures applied to minimise risks at work and energy consumption.

To immediately communicate to ERSI GROUP any type of incident that may pose an occupational or environmental risk.

 

Logistics managers

To communicate to ERSI GROUP, the efficient driving initiatives that are carried out within the ERSI GROUP to encourage the reduction of fuel use.

To communicate to ERSI GROUP, the initiatives regarding the use of biofuels.

 

Waste manager

To send to ERSI GROUP a copy of the Authorised Manager's document for each type of waste to be removed in our ERSI GROUP.

 

Hazardous waste carrier

To send to ERSI GROUP a copy of the communication in writing and with the entry number to the environmental authority of the corresponding municipality, to inform of the performance of this activity.

 

Inert waste carrier

To send to ERSI GROUP a copy of the certificate of registration in the Register of Inert Waste Carriers to the environmental authority of the corresponding municipality.

 

Recycling Company

To send to ERSI GROUP a copy of the application for Recycling Authorisation to the environmental authority of the corresponding municipality.

 

Laboratories of environmental analytics (ocas)

To send to ERSI GROUP a copy of the accreditations available for the measurements / analyses to be carried out.

To send to ERSI GROUP a copy of the calibration certificates of the equipment to be used in the measurements / analyses to be carried out.

To send a copy of the Quality Certificate to ERSI GROUP.

 

Installation and / or maintenance of fire protection systems

To send to ERSI GROUP a copy of the Registration of the installation / maintenance company of fire protection systems.

 

SUBCONTRACTORS WORKING IN THE FACILITIES OF OUR ERSI GROUP OR FOR OUR ERSI GROUP

To communicate to the Head of our ERSI GROUP in charge of verifying their work, the types of waste generated during their activity, in order to inform them of the way to proceed with each of them.

To communicate the Occupational Health and Safety Risks that they may generate in their work, both those that can be expanded and those that can be minimised.

To comply with the instructions and procedures regarding ORP in force at the facilities.

To deposit the waste generated by their activity in the deposit areas defined for them. These areas are perfectly identified. In the case of hazardous waste, the containment tanks shall have an identification label attached, where the waste in question is clearly specified.

Do not mix residues of different types.

In case of doubt, always ask the ERSI GROUP's personnel in charge.

Do not deposit toxic and dangerous waste in areas not authorised for this, nor containers that have contained hazardous substances, such as: Paint, Oil, Fat, Solvent, etc.

To avoid spills when handling hazardous substances and if possible, establish their own methods to avoid these incidents.

If a spill occurs or leaks or damage of deposits containing hazardous substances are observed, to immediately notify.

To use natural resources rationally, such as: Water, Electric Power, and Fuel.

Do not use ERSI GROUP´s drains, or the external sewers to pour toxic products or substances.

If you have any questions, please ask the ERSI GROUP personnel.

To keep the facilities clean. To avoid clutter. To project an image of respect and care for the environment.

To adopt the appropriate measures to avoid abnormal noises.

To keep in mind that repeated discharges of waste, even in small quantities, can irreversibly damage our environment.

 

FOLLOW-UP OF SUPPLIERS

All suppliers of goods and services of GRUPO ERSI are subject to an initial and continuous assessment. This initial assessment has the purpose of selecting those with supply capacity in accordance with the purchase requirements of GRUPO ERSI and verifying compliance with the requirements over time.

Initial Assessment: After the initial selection of new suppliers taking into account the criteria of: Quality, Price, Proximity, Supply Speed, Exclusivity, etc., a trial period is established. After this period and if the result is satisfactory, the supplier is included in the list of accepted suppliers.

Continuous Assessment: Regardless of the method followed for the initial assessment, suppliers / subcontractors are subject to a continuous assessment or annual reassessment, using as criteria the type and number of Non-Compliance events occurred in the previous period.

Therefore, the result of their activity as a supplier shall be assessed by GRUPO ERSI according to the following criteria, as appropriate:

 

Material suppliers:

Delivery of delivery note detailing items and quantities.

Goods and contents of the delivery note coinciding with the order.

Packing in perfect condition (no blows, humidity).

Sending the requested technical documentation (eg certificates).

Dimensions of the material according to order, plan or technical documentation sent.

Service suppliers and subcontractors:

Compliance with general purchase terms.

Compliance with lead times and delivery deadlines.

Compliance with order specifications and technical documentation sent (plans, instructions, etc.)-

Sending the requested technical documentation (certificates, inspection check-list, etc.).

Result of the follow-up visits of our technicians to facilities (only for subcontractors).
