Commitment to Suppliers
ERSIGROUP has implemented a Comprehensive Management System that requires relevant suppliers and subcontractors to comply with the commitments set out in the Quality, Environmental and Social Policy, available on the website, and the requirements defined here for each type of supplier.
We therefore wish to convey to our suppliers and subcontractors the need for their behaviour to be consistent and in line with that of ERSIGROUP, informing them of the importance of complying with both the principles described in our Policy and the requirements set out in this document, in order to ensure that their behaviour guarantees at all times the quality of the product or service provided, the utmost respect for the environment and the safeguarding of the health and safety of workers, orienting their processes towards continuous improvement and sustainable development, and keeping ERSIGROUP informed in this regard.

REQUIREMENTS
Quality requirements
Suppliers, in addition to having the duty to comply with all applicable legal requirements, shall comply with all quality requirements that are implicit for the requested product or service or that have been contractually established to provide goods and services that consistently meet the needs and expectations of ERSIGROUP, that function, are effective and are safe from all points of view for their intended use.
The methods of supervision and quality control of the products and services supplied to ERSIGROUP, as well as those used for the selection, evaluation and re-evaluation of our suppliers, shall be based on logical criteria, depending on the degree of influence or relevance that such products or services may have on the provision of our services to the customer.
General requirements for purchasing/suppliers
Orders must be delivered within the established deadlines.
The delivery notes and any other required documents must be delivered together with the order.
The products must be those requested in terms of both quality and quantity.
INVOICES must contain at least the following information:
ERSIGROUP Purchase Order (Order) Number
Quantity, units and amount as per order
Each invoice may only refer to one purchase order.
Depending on the type of activity, the requirements will be as follows:
General
Be familiar with and comply with current national, regional and local legislation applicable to its activities, products and services in the areas of the environment and occupational health and safety.
Provide ERSIGROUP with any information and/or documentation that may be requested regarding the environmental and occupational health and safety performance of its products and/or services.
Raw material suppliers
Promote safe and environmentally friendly production processes and the implementation of environmental management systems.
Supplier of hazardous substances, except fuels
Send the Safety Data Sheets for hazardous substances.
Inform ERSIGROUP about more environmentally friendly alternative substances and safe procedures.
Design/manufacture/installation of equipment
Inform ERSIGROUP about health, safety and environmental aspects associated with the equipment/installation.
Inform ERSIGROUP about the corrective measures applied to reduce occupational risk and the environmental impact of the equipment/installation.
Inform ERSIGROUP about potential accidents, breakdowns, abnormal operating conditions (shutdown and start-up) and their effects on the environment and occupational health and safety.
Inform ERSIGROUP about the waste generated by the installation/equipment and its characteristics.
Inform ERSIGROUP about the consumption of natural resources (energy, raw materials, fuel) by the equipment/installation under normal conditions.
Inform ERSIGROUP about the maintenance to be carried out on the installation.
Maintenance of machinery, facilities and vehicles
Send ERSIGROUP a copy of the registration certifying ERSIGROUP‘s authorisation to carry out installation and/or maintenance work.
Inform ERSIGROUP of the potential effects and risks to occupational health and safety of energy consumption and operations carried out at our facilities and, where applicable, of the preventive and corrective measures implemented to minimise occupational risks and energy consumption.
Immediately report to ERSIGROUP any type of incident that may pose an occupational or environmental risk.
Logistics managers
Inform ERSIGROUP of any efficient driving initiatives carried out within ERSIGROUP to promote reduced fuel consumption.
Inform ERSIGROUP of any initiatives regarding the use of biofuels.
Waste manager
Send ERSIGROUP a copy of the Authorised Manager’s supporting document for each type of waste to be collected at our ERSIGROUP.
Hazardous waste transporter
Send ERSIGROUP a copy of the written communication, with the reference number assigned by the environmental authority of the corresponding locality, stating that you are carrying out this activity.
Inert waste transporter
Send ERSIGROUP a copy of the certificate of registration in the Register of
Inert Waste Transporters at the environmental agency of the corresponding locality.
Recycling company
Send ERSIGROUP a copy of the application for recycler authorisation to the environmental authority of the corresponding locality.
Environmental analysis laboratories (ocas)
Send ERSIGROUP a copy of the accreditations available for the measurements/analyses to be carried out.
Send ERSIGROUP a copy of the calibration certificates for the equipment to be used in the measurements/analyses to be carried out.
Send ERSIGROUP a copy of the Quality Certificate.
Installation and/or maintenance of fire protection systems
Send ERSIGROUP a copy of the registration of the company that installs/maintains fire protection systems.
Subcontractors working on our premises or for us
Inform the ERSIGROUP manager responsible for verifying your work of the types of waste generated during your activity, so that they can advise you on how to proceed with each type.
Report any occupational health and safety risks that may arise in your work, both those that can be mitigated and those that can be minimised.
Comply with the OHS instructions and procedures in force at the facility.
Deposit the waste generated by your activity in the designated waste disposal areas. These areas are clearly identified. In the case of hazardous waste, the containment tanks will have an identification label attached, clearly specifying the type of waste involved.
Do not mix different types of waste.
If in doubt, always ask the ERSIGROUP staff responsible.
Do not deposit toxic and hazardous waste, or containers and packaging that have contained hazardous substances, such as paints, oils, greases, solvents, etc., in areas not designated for this purpose.
Avoid spills when handling hazardous substances and, if possible, establish your own methods to prevent such incidents.
If a spill occurs or leaks or damage to containers containing hazardous substances are observed, report it immediately.
Use natural resources such as water, electricity and fuel rationally.
Do not use ERSIGROUP drains or external sewers to dispose of toxic products or substances.
If in doubt, ask the staff to keep the facilities clean. Avoid clutter. Project an image of respect and care for the environment.
Take the necessary measures to avoid abnormal noise.
Bear in mind that repeated waste disposal, even in small quantities, can cause irreversible damage to our environment.
SUPPLIER MONITORING
All ERSIGROUP suppliers of goods and services undergo an initial assessment and ongoing evaluation. The purpose of this initial assessment is to select those with the capacity to supply in accordance with ERSIGROUP‘s purchasing requirements and to verify compliance with these requirements over time.
Initial Assessment: Following the initial selection of new suppliers, taking into account criteria such as quality, price, proximity, speed of supply, exclusivity, etc., a trial period is established. Once this period has been completed and if the result is satisfactory, the supplier is included in the List of Accepted Suppliers.
Continuous Assessment: Regardless of the method used for the initial assessment, suppliers/subcontractors are subject to continuous assessment or annual re-evaluation, using as criteria the type and number of non-conformities that occurred in the previous period.
Therefore, the results of your activity as a supplier will be assessed by ERSIGROUP according to the following criteria, as aplicable
Suppliers of materials
Sending of delivery note detailing items and quantities.
Goods and contents of delivery note matching the order.
Packaging in perfect condition (no dents, moisture).
Sending of requested technical documentation (e.g. certificates).
Dimensions and measurements of the material according to the order, plan or technical documentation sent.
Service providers and subcontractors
Compliance with general purchasing conditions.
Compliance with execution and delivery deadlines.
Compliance with order specifications and technical documentation sent (drawings, instructions, etc.).
Submission of the requested technical documentation (certificates, inspection checklists, etc.).
Results of follow-up visits by our technicians to your facilities (only for subcontractors)
